What are the advantages of hiring a Remote Executive Assistant (REA)?
 
Of course, nothing can replace the comfort of having a real person to interact with and share a coffee or have a chat. But in today’s rat-race and times of limited resources, a virtual assistant has many advantages which you can consider.
 
How can I hire a Remote Executive Assistant and how does it work?

The procedure is very simple. Read our terms and conditions on the website and send us the completed “Request for Information” online form with details of your requirements. Our Business Consulting Team will get back to you within 48 hours. Once we understand the detailed scope of your project, we will suggest the most appropriate engagement model and give you a quote for your assignment along with the timelines. Once both parties are convinced about the partnership, we will send you the details of the engagement scope, the agreed timelines, deliverables and the payment details. We start work as soon as we receive your advance payment.

 

Working with an REA is similar to that of an assistant working for you from outside your office. You can train and instruct your REA/team as per your specific requirements and procedure. Your REA will be just like your own staff and will report to your directly. You do not have to worry about the infrastructural requirements for these employees as they will be working for you from our office.

 

Will your company be responsible for the people I hire from you?

Yes. All our employees are English-speaking graduates and post-graduates in different fields. They are full time employees bound by Brickwork's policies regarding Intellectual Property, security, leave and other aspects that are related to and may affect your work. They are provided all the statutory benefits due to regular employees, including medical insurance.

Can I select both Basic and Premium Services?

Yes, you can. You can work with different teams with different specializations, and have one project coordinator to communicate with you and manage your various tasks.

What if my REA is on leave?

Our back-up system ensures that your project never suffers just because your REA is on leave.

How is the REA monitored?

The Team Lead or a Delivery Manager supervises the work of every REA. The client also needs to mark the assigned TL in all mail communications to keep them in the loop. You as a client also need to provide regular feedback, thereby ensuring that the deliverables are as per expectations.

How do you ensure quality?

We have 1-3 levels of quality check by staff at different hierarchy levels, depending on the complexity of the project.

 

How is the work sent and received?

We communicate with our clients mainly through e-mails. But we also share data through remote desktop connection and File Transfer Protocol (FTP).

 

Do you have an ongoing training program for your REAs?

We train our REAs on research methodology, internet search skills, report writing, MS office, e-mail writing, telephone skills and others. We have a full time corporate trainer on board who constantly works with our employees, along with the delivery managers and team leads, to provide need-based training. We also conduct knowledge sharing sessions, peer review, and on-job training etc. Some of our clients also spend time on training and quality control of their specific REA. The analysts and assistants get better with time, regular client communication and interaction. Hence we recommend that assistants be hired for a longer duration where they get an opportunity to get used to your work and your expectations and are able to perform more efficiently with the passage of time.

How can I train the REA on your system, software etc?

We provide facilities for remote training. Clients are also welcome to visit our office and train our resources. We facilitate travel by our resources to client locations for training purposes. Our clients can utilize our infrastructure and look at Brickwork as a partner in growth and even as an extended client organization

Would it be possible to set up an e-mail account through our company and use that for e-mail communication?

Yes, this is certainly possible and we have done this with several clients, so that your REA can interact with your clientele on a regular basis. For personal appointments and meetings management, you can also share your calendar with your REA.

How do you address client feedback?

Brickwork takes client feedback seriously! It forms a major part of our employee appraisal and compensation. Our Online feedback system ensures that client feedback reaches the senior management directly for effective implementation of client suggestions.

What happens if I am dissatisfied with my REA?

We take complete responsibility for the REA assigned to you. If you are not happy with your REA, just send us a mail stating your reasons for dissatisfaction. Then depending on the cause of dissasfaction, we will either train your REA better to him/her meet your expectations or we will assign another REA to you, based on availability.

Do all the REAs know English? Do you also work with other languages?

Yes. All our REAs are conversant in the English language. Whenever necessary, we use external consultants as language translators for languages other than English.

Will I receive daily progress reports that outline the outstanding and completed work?

We maintain time sheets and these are forwarded to the clients at the agreed intervals. The frequency of the updates depends on the total duration, difficulty level and deadlines of the project.

How do I communicate with my REA?

You can communicate directly with your REA during the engagement, especially for the retainer or subscription engagement model. For fixed bid projects which are signed for fixed number of hours or a fixed period, we prefer that the client communicates primarily with the Project/Team Leader or Delivery Manager to maximize the productivity and quality control. The communication channel is discussed at the time of signing the contract. For all retainer engagement models, clients can communicate with the REA by email, skype chat or phone. But for all emails, clients need to keep the team lead/manager in the loop.

 

What are your working hours?

Brickwork works around the clock— 24 hours, Monday to Friday. There are 3 shifts. You can choose the best time that you want your REA to work in. We are in India. Our time zone is GMT +5:30 Hours
